Commodore Ron Hrabak called the meeting to order at 7:05 PM on July 10, 2017 at Century 21 Park Rd., Wyomissing.

Secretary Michele Rutolo:  June Minutes were submitted to the Board via email. Conrad V made a motion to approve the Minutes as distributed. Bruce L seconded. Motion passed.

Treasurer Bruce Littlefield:  Treasurer’s Report for the month of June:

Beginning Balance:     $1,699.25                    Ending Balance:  $1,730.93

Income:      $26 – Raffle

Commodore Ron Hrabak:  Thanked Armando and Christa Antonini for the June picnic. Thanked Mary S for coordinating the 50/50 raffle. Thanked Joe R and Tom S for setting up the cruises during this rainy season.

Joe R forwarded an email about partnering our activities with the Flying Dutchman Ski Club to promote goodwill, outdoor common interests and possibly new members. When Joe receives information as to their exact intentions, a discussion will continue.

Vice Commodore Mary Stajkowski: Michele R accepted Mary’s proposal to continue as Secretary. Mary still needs to fill the Treasurer’s position. 

Rear Commodore Heidi Moser: Not present. No report

CBYCA Chair Donna Ferron:  Not present. No report.

Communications Chair Michele Rutolo:  Discussed events to put in the mid-July email, especially concerning the change of date for the Moonlight Paddle event.

Log Book was sent out to all members in June.

Fleet Captain Joe Rutolo:  Not present. No report.

House Chair Russ Witzke:  The reservation is made for the Commodore’s Banquet at Beverly Hills Tavern. The deposit check is payable when the menu is set.

The Christmas Party will be held at the Spring Twp Fire Co, as before.

Historian Chair Jan Stoner:  Not present. No report.

Membership Chair Ron Hrabak:  No change from June; we are currently at 55 members. Last year we had 57 members.

The three people who expressed interest at the Outdoors Day event declined when Ron H called.

Mid-Week Sailing (Tom S):  Not present. No report

Paddlers Chair Conrad Vanino:  Conrad V made a motion the Full Moon Paddle be moved from Saturday, August 5 to Friday, August 4. Michele R seconded. Motion passed. Conrad V requested a blurb go out to members regarding the change of date for the evening kayak event.

Tom S requested the August 4 date be our mid-week sailing event. 

Program Report by Rear Commodore:  Not present. No report.

Ron H announced everything is set:  September General Meeting will be Nomination of Officers and a slideshow re the BVI trip presented by Joe R. The October General Meeting will be the 2018 Board Election and Photography Contest coordinated by Heidi M. October 28 is the 2018 Calendar Planning Meeting. 

Safety Chair Heidi Moser:  Not present. No report.

Social Report by Vice Commodore:  The July Picnic is next. Leftover meat as well as the supply bins will be passed on to the Littlefields for the August Pool Party/Picnic.

Stores Chair Conrad Vanino:  No report.

Vagabond/Cruising Chair Tom Stoner:  Two cruises: Corsica River cruise attended by Conrad and Barb V; Tom S and Ron H. The following weekend will be a cruise to the Magothy River with Joe and possibly Michele R; Tony and Mary S.

The Pirates & Wenches Weekend is set up for August 11-13.

Land Cruise to the Smithsonian is scheduled on August 25. Tom S wants to bring his sailboat if possible. Joe R will get details.

The Fall Cruise is rescheduled for September 15-17.

Since Nockamixon was cancelled earlier it may take the place of Long Level on the Susquehanna River on September 28.

Web Master Joe Rutolo: Sent an email to the Board saying there would be a $617 website bill in 2019 for three years. By raising the dues $5 the increase would be paid for within three years. 

Old Business:  Russ Witzke’s hearing will be held July 24. It was suggested he hire a lawyer. A group from BMSA will be there to show their support.

JUNE 12, 2017 MEETING MINUTES

Commodore Ron Hrabak called the meeting to order at 6:59 PM on June 12, 2017 at Century 21 Park Rd., Wyomissing.

Secretary Michele Rutolo:  May Minutes were submitted to the Board via email. As per Bruce L’s suggestion, Committee Chairs present will be listed going forward. Mary S made a motion to approve the Minutes as distributed. Bruce L seconded. Motion passed.

Communications Chair Michele Rutolo:  Ron H reminded the Board to get info of events to Michele a week or more before the newsletter goes out for the sake of efficiency.

A fourth reminder re the upcoming picnic will not be sent since it’s also posted on the web site.

Fleet Captain Joe Rutolo:  Not present. No report

House Chair Russ Witzke:  Reserved Beverly Hills Tavern for the Commodore’s Dinner. $100 deposit is needed. Russ will handle communications with BHT and the menu. The deadline for reservations will be two weeks prior to the dinner.

The Christmas Party will be held at STFD. Ron H suggested an after-party for those who want to celebrate with alcoholic beverages. Mary S reminded members to factor in tear-down time.

Historian Chair Jan Stoner:  Not present. No report

Membership Chair Ron Hrabak:  55 members to date.  The Log Book is updated and the revision will be sent as an attachment in the July newsletter.

Ron H suggested increasing membership by advertising in Berks County Magazine or having the Reading Eagle do a story about BMSA, possibly focusing on Donna F and John P sail to St. Thomas in February. Conrad V will contact the Reading Eagle.

Mid-Week Sailing:  Tom S reported Joe R is posting the upcoming day on the web site each week. The bigger issue is getting members to check the web site. Directions to do so were posted and highlighted in the last few newsletters. Ganly’s is unable to accommodate our large group on a Friday, so Blue Marsh Italian Restaurant is the alternate. 

Paddlers Chair Conrad Vanino:  No report. The kayak event to the Smithsonian Environmental Center in Edgewater, MD on Friday, August 25 is on the agenda. Kayaks are available for use if reserved ahead of time, or bring your own.

Program Report by Rear Commodore:  The September program will be a discussion and photos of the BVI trip. The Littlefields canal trip to France might be moved to another date.

The Commodore’s Banquet is reserved at BHT, as discussed earlier.

Safety Chair Heidi Moser:  National Outdoor Day was a success. BMSA brochures were available for those interested. Tom S had a contact sheet for those interested in learning to sail. Three people signed up and he will be contacting them.

Ron H reported there was a foreclosure on Rick’s Marine and new owners are renting kayaks and canoes, transporting them to and from for $45/4 hours.

Russ W discussed the incident he had at Blue Marsh Lake.Ron H stated there’s nothing in our By-Laws about boating safety and wants it added.

Social Report by Vice Commodore:  The June picnic is being coordinated by Armando and Christa Antonini. Ron H is bringing the drinks; Conrad V is bringing 50/50 tickets. The bins have been resupplied. Ron H will take the bins home afterward for the July picnic.

Stores Chair Conrad Vanino:  Would like 15 items before placing the order. We’re close.

Vagabond/Cruising Chair Tom Stoner:  Spring Cruise is set. Three boats are attending, possibly a fourth. Put in is at Sandy Point, sail to Annapolis to the Annapolis Landing Marina. Water taxi will be used to transport to a restaurant, possibly meeting Heidi and Dan M. On Saturday sail to the upper end of the Magothy and stay at the Magothy Marina. Return to Sandy Point Sunday.

Neither Tom S nor Ron H can make it to the Nockamixon Day Sail on June 7. It may be canceled.

Web Master Joe Rutolo:  Not present. Joe reported via Michele he was contacted on our web site by someone who wants to advertise the sale of his Buccaneer sailboat on our site. Conrad V said there is a fee for non-members to advertise. Ron H suggested $25.

Joe R is looking for the BMSA digital logo to put on documents. Conrad V will contact Lengel, who has the logo for our clothing apparel, who will send it to Joe via email.

New Business:  At the July Board Meeting discuss revising the by-laws, including safety.

April 11, 2017 Board Meeting Minutes

Secretary Michele Rutolo:  March Minutes were submitted via email. Bruce L made a motion to accept the March Minutes as distributed. Heidi M seconded. Motion passed.

Commodore Ron questioned the necessity of minutes taken at General Meetings. Conrad V clarified minutes are necessary only when motions/votes occur.

Treasurer Bruce Littlefield:  Treasurer’s Report for the month of March:

Beginning Balance:     $1,829.24                    Ending Balance:  $1,845.24

Income:      Membership – $50

Expenses:   Reimbursement to Ron Hrabak for Reading Royals payment – $34

Memorial check is still outstanding.

IRS requirement for Tax-Exempt Organization was submitted via email by Bruce L. Mary S thinks this is required because of our Tax ID Number, which hasn’t been used in recent years.

BMSA donation to the Spring Township Fire Co for the use of their meeting room in 2017 is due in April. Heidi M made a motion to make a contribution to the Spring Township Fire Co in the amount of $200. Michele R seconded. Motion passed.

Commodore Ron Hrabak:  Thanked the Board for attending the meeting last month with the impending snowstorm, which was held in record time.

Commodore’s Message was sent out in March, with a new message coming out in May after the monthly newsletter is distributed. The next Commodore’s Message will be issued in the Fall.

CBYCA Chair Donna Ferron:  Reported via email that CBYCA is now on facebook at  www.facebook.com/groups/CBYCA  She is on the CBYCA Board  regarding communications.

Communications Chair Michele Rutolo:  A special invitation was sent to Josh Heckman, a college student interested in joining BMSA, to attend the Kick-Off to hear Donna Ferron’s presentation. He was encouraged to bring a friend. He couldn’t attend due to studying in Italy for the semester but thanked me for reaching out to him. He plans to attend the May meeting.

Andrew Kelhart, new to sailing, asked for help from someone in the club to rig his 1974 Apollo 18. Bruce L offered to help him figure it out the rigging.

Fleet Captain Joe Rutolo: Tom S will contact Joe in the near future to finalize plans.

House Chair Russ Witzke:  No report

Historian Chair Jan Stoner:  No report

Membership Chair Ron Hrabak: 49 members; no increase from last month. Tom S offered to call people who haven’t signed up to encourage them to rejoin.

Membership cards were issued with the 2017 schedule. The Logbook is ready but will be emailed to membership in May. Revisions will be issued as members join.

Mid-Week Sailing: Once the sailing season begins, Tom S or Joe R will send emails notifying members what day to meet for mid-week sailing.

Paddlers Chair Conrad Vanino:  No report at this time. Plans will be made closer to the kayaking season.

C Ron H reported a few members are interested in attending the Smithsonian kayaking event even though they don’t kayak. Discussion ensued as to what might be available in the area. Further research will take place prior to the event.

Program Report by Rear Commodore: 

C Ron H offered to do the write-up on Donna Ferron’s presentation at the April Kick-Off.

Extra BMSA schedules for the year will be available at the Kick-Off.

The catalog orders for clothing with BMSA logo will be postponed until the May General Meeting.

Mary S has the blue bins ready and re-stocked Styrofoam cups. C Ron H will bring water, soda and ice. Michele R will bring coffee, both decaf and regular. Conrad V is unable to attend.

Conrad V has backup from the Shillington Fire Co for the May General Meeting on Fire Safety and Rescue since Spring Township Fire Co. has still not responded.

September General Meeting will be a recap of the May BVI trip.

Safety Chair Heidi Moser: Will be attending the sign-up for Outdoor Days on Wednesday, April 13. First come gets first choice of spots, so her early attendance is necessary. 

Social Report by Vice Commodore:  The blue bins will be passed along after the Kick-Off meeting to whoever agrees to run the June picnic. The Antoninis will be asked to be our June hosts.

Michele R reported the Wine Trail event on April 29 will start with a wine tasting followed by lunch at Folino Estate Winery, our first stop. We will visit 2 nearby wineries, probably Pinnacle Ridge and Clover Hill at Breiningsville, before ending at Premise Maid for ice cream and chocolate candy for dessert.  

Stores Chair Conrad Vanino:  The catalog will be available at the May General Meeting for orders.

Vagabond/Cruising Chair Tom Stoner:  Reservations have been made for Pirates & Wenches Weekend for the three ABC boats. Anyone else interested should make reservations soon.

New Business:  In June the Board will discuss reinstating the 50/50 raffle at picnics. Later in the year the Board will discuss raising the dues and reviewing the by-laws.

Secretary Michele Rutolo:  February Minutes were submitted via email. Conrad V made a motion to accept them as distributed.  Bruce L seconded. Motion passed.

Income:   $105 – membership  

Expenses:  $50 – CBYCA publication

Memorial check for Mary Calcagno is still outstanding.

Motion made by Conrad V to accept the Treasurer’s Report. Mary S seconded. Motion passed.

Neither Mary S nor Bruce L could access the online account due to the bank changing their rules re password length. Bruce L amended the situation this past week.

Discussion was held on the bank’s default of Overdraft Protection, which ultimately could cost $35 for each month an imbalance occurs. Bruce L will look into what accounts are necessary to avoid the fee.

Mary S reminded Bruce L the IRS postcard must be mailed out to keep the Tax ID card current. Missing a year will require a long form, so Bruce L will take care of it.

Commodore Ron Hrabak:  Thanked Michele R for getting out communications, especially acknowledging members who renewed. It resulted in one family renewing.

The next Commodore’s Message will be emailed to members before the sailing season begins.

CBYCA Chair Donna Ferron:  Not present. As per Bruce L, both CBYCA checks are cashed.

Communications Chair Michele Rutolo:  Questioned if Donna Ferron and John Pittman would both do the presentation at the April meeting. Info is needed for the April newsletter. Ron H will contact Donna, who will also talk briefly about their November trip to the BVI.

Fleet Captain Joe Rutolo:  Not present. Joe sent a report via Michele: He sent an email to Tony and Mary S and Ron H re the Fall Vagabond asking to switch it back to September 15-17 instead of the following weekend as per Tom S request. It was agreeable to all. Date is now September 15-17. 

House Chair Russ Witzke:  Not present. All is in order except for the location of the Christmas Party and rental of the room for the Commodore’s Banquet.

Historian Chair Jan Stoner:  Not present. No report.

Membership Chair Ron Hrabak:  49 members. Down from 57 last year. To cover the deficit in revenue reinstatement of the 50/50 raffle and/or boating auction was discussed.

Final changes to the 2017 Schedule were discussed before sending it out with membership cards.

Safety Chair Heidi Moser:  Not present. She reported to Ron H she will not be present during the afternoon of Outdoors Day on June 10, 2017 and will need coverage. Ron H will help and we’ll ask members if they can help out.

Social Report by Vice Commodore:  April Kick-Off meeting: Mary S has the bins, Ron H will bring a case of water, Conrad V will bring sodas, Michele R will bring a carafe of decaf coffee and coffee pot if needed and will check if Heidi M can bring a carafe of regular coffee. Members will be asked to bring desserts.

Michele R reported the Wine Trail event is on for April 29. An itinerary will be available by the April Kick-Off. Our first tasting will be at Folino Estate Winery with a 1:00 PM lunch following at their restaurant. Wine tasting stops will continue with a stop for dessert at Premise Maid.

Stores Chair Conrad Vanino:  Logo items and order forms will be available at the April meeting. Discussion was held about ordering BMSA logo collar shirts, especially suitable for yacht clubs.

Ron H received information for burgees but is unsure if this is the company used in the past. Conrad V said if our logo is scanned, it’s the same company. Conrad or Ron will look into it.

Minutes of February 6, 2017 Board Meeting                                                  

Commodore Ron Hrabak called the meeting to order at 7:13 PM on Monday, February 6, 2017 at Century 21 Park Rd., Wyomissing.

Board Members Present:  Ron Hrabak, Mary Stajkowski, Michele Rutolo, Bruce Littlefield via Facetime, Heidi Moser, Conrad Vanino

Secretary Michele Rutolo:  Minutes were sent to Board Members via email. Heidi M made a motion to accept the Minutes as written. Bruce Littlefield seconded. Motion passed.

Ron H offered Michele his assistance in the future in getting communications out to the membership if it’s ever needed.

Treasurer Bruce Littlefield:  Treasurer’s Report for the month of January:

Beginning Balance:     $2,318.24                    Ending Balance:  $1,774.24

Two checks are outstanding which total $75.00 and a credit outstanding to Ron and Sharon Hrabak of $34 (refund of cancelled Reading Royals venue). 

All tickets reserved for Dutch Apple Dinner Theater had been purchased by members; BMSA did not spend any money on that event.

Commodore Ron Hrabak:  Financial Audit is finished and looked good; no errors. Thanks go to Bruce L and Mary S for doing a great job with the record keeping in 2017.

It was informally decided the Incoming Commodore will do the audit each year so they can verify everything is as it should be during their term.

Discussion took place as to whether the By-Laws should be reviewed since several things are now obsolete, i.e. Racing. A Chairperson should be elected to form a committee. This will be discussed at a Board Meeting later in the year.

A suggestion had been made to reduce the number of General Meetings during the year, doing away with the April meeting and moving the Annual Kick-Off to May. Joe Rutolo suggested and Ron agreed to invite Donna Ferron and John Pittman to do a program re their January overseas sailing adventure from Annapolis to St. Thomas USVI at the April Kick-Off. The Kick-Off will continue to be held in April since it gets members out of the winter blues and excited about the upcoming sailing season. The club will provide beverages and members will be asked to bring an appetizer or dessert.

Conrad V  will set up the May program of home and boating safety presented by the Fire Dept.

Ron spoke with Tom Stoner, who will look into moving the Christmas Party to Wyomissing Fire Co. when he returns to PA.

Russ Witzke agreed to handle/schedule the Commodore’s Banquet at Beverly Hills Tavern next year.

Joe Rutolo agreed to put together a slide presentation of the upcoming BVI trip for a future program this year.

The Commodore’s Message was well-received. Another will go out before the summer season to encourage members to participate.

CBYCA Chair Donna Ferron:  Not present. No report. Our dues was paid and our ad has been sent. Checks haven’t been cashed as of yet.

Communications Chair Michele Rutolo:  Agreed to put out a special message to those who haven’t paid dues, including former members, encouraging them to join. Ron H agreed to do the write-up. It will be sent out toward the end of February since Ron H will be away. The Board wants to acknowledge by name all members who have paid dues in the next newsletter. 

Fleet Captain Joe Rutolo:  Tom S and Joe have cruises and vagabonds figured out for June, July and August. The Fall Cruise is still being discussed; they are awaiting suggestions from Tony S. Joe will notify Ron H when changes to the sailing schedule are made to the website. 

Joe mentioned BMSA has a Facebook page but isn’t used by many, so it isn’t updated regularly.

Membership Chair Ron Hrabak:  39 members to date. Discussion was held about offering a $5 discount to encourage members to pay dues on time. It will be discussed at a later date for possible implementation next year.

Program Report by Rear Commodore:  As was discussed earlier, the April General Meeting is our Kick-Off, hopefully with Donna F and John P giving a presentation on their winter sailing adventure. The May General Meeting will hopefully cover home and boating safety presented by the fire dept.

Safety Chair Heidi Moser:  We are in line for Get Outdoors Day. Nothing is new; the organizers haven’t had their first meeting yet.

Social Report by Vice Commodore:  Dutch Apple Dinner Theater’s “Sheer Madness” was a great success. Miller events and dinner prior are scheduled for February and March.

Stores Chair Conrad Vanino:  Catalogues will be available at the April General Meeting.

Vagabond/Cruising Chair Tom Stoner:  Not present. No report.

Web Master Joe Rutolo:  Ron H was surprised to find links to some of our members after searching BMSA on AOL. Joe mentioned we are at the top of the page when you go through a Google search. Joe also assured everyone if a name was found with a link, he changed all links to show the Officer’s name and title, but no one can see their personal email address through any link on our site. Any members whose names or addresses have been seen in a search had some sort of public dealings in their job, i.e. Treasurer, where their address appeared at one time. Joe has minimized the amount of personal exposure to our members.

Minutes of January 9, 2017 Board Meeting                                                   

Commodore Ron Hrabak called the meeting to order at 7:12 PM on January 9, 2017 at Century 21 Park Rd., Wyomissing.

Board Members Present:  Ron Hrabak, Mary Stajkowski, Michele Rutolo, Bruce Littlefield (via Face Time), Conrad Vanino

Secretary Michele Rutolo:  Minutes were submitted via email and changes made as per Bruce L. Mary S. made a motion to accept the Minutes as submitted; Bruce L seconded. Motion passed.

Treasurer Bruce Littlefield:  Treasurer’s Report for the month of December 2016:

Beginning Balance:     $1,487.03                    Ending Balance:  $2,318.24*

Income:      Info unavailable due to internet down on Bruce’s end.

Expenses:   Same as above.

* Three checks are outstanding at the end of the year, which total $791.

Motion made by Mary S to accept the Treasurer’s Report; Michele R seconded. Motion passed.

Joe R gave explanation re the Google Drive Shared Membership Roster, created by him for the Board. Ron H, Bruce L and Mary S have editing privileges. Michele R, Conrad V and Tom S have viewing privileges.

The Blue Marsh Income file was created by Mary S in Google Drive and shared with Bruce L. Tabs include Budget, Registration, Membership and Dutch Apple Dinner Theater. Ron H has access to the Membership tab. Bruce L suggested it be shared with all Board Members. Mary agreed to grant viewing privileges to Board Members.

Ron H preferred carrying a credit of $34 for future use instead of a check in lieu of reimbursement for the canceled Reading Royals tickets he purchased.

Audit:  Ron H will audit the books by the next Board meeting.

Commodore Ron Hrabak: Thanked Michele for the Minutes and January Update, including the weather report.

Ron H will not be available for the next meeting scheduled for February 13. It is moved to Monday, February 6.

Vice Commodore Mary Stajkowski:  No report

Rear Commodore Heidi Moser:  Not present. No report.

Past Commodore Conrad Vanino:  No report

CBYCA Chair Donna Ferron:  Not present. Reported to Ron H she updated the current list of officers for  CBYCA. We will be billed $75 for membership, a  reduced rate, since we’re currently under 50 members. An invoice will be mailed to a Board member this week.

Conrad V made a motion to pay the CBYCA 2017 dues of $75 when the invoice is received. Bruce L seconded. Motion passed.

At this point Mary S discovered a link on the bottom of the CBYCA letter, Joe R found the dues renewal form, it was printed and a check written at the meeting.

Communications Chair Michele Rutolo:  Ron H questioned the need/frequency of publishing a  Commodore’s Message. Another will be sent to members the end of January. Ron will wait for summer to write his third Commodore’s Message.

Fleet Captain Joe Rutolo:  Since Tom Stoner is out of town and sailing is off in the near future, the summer sailing schedule will be finalized when Tom returns. The dates are established; the destinations will be finalized.

House Chair Russ Witzke:  Not present. A report was sent to Ron H stating the Spring Township Fire Company is reserved for our use; Russ will continue running the Miller Center social events; and the Dutch Apple Dinner Theater payment has been sent. 

Conrad V inquired about the location of the Christmas Party. Ron H said Tom Stoner was going to look into the availability and cost of having it at the West Wyomissing Fire Co due toalcoholic beverages allowed at that facility.

Historian Chair Jan Stoner:  Not present. No report.

Membership Chair Ron Hrabak:  Currently 31 paid members. Deadline for dues is February 15.

Mid-Week Sailing:  N/A

Paddlers Chair Conrad Vanino:  Conrad V and Joe R will work on the kayaking schedule. Joe R suggested a possible trip to the Delaware River. Further info will be available in April.

Program Report by Rear Commodore:  Not present. No report.

Safety Chair Heidi Moser:  N/A

Social Report by Vice Commodore:  Mary S reported all looks good for scheduled upcoming events. The Reading Royals event was canceled.

16 people will be attending the Dutch Apple Dinner Theater event on February 4. All tickets were sold. Russ W will handle the reservations for dinner before the Miller Lecture on February 10.

Stores Chair Conrad Vanino:  Due to the hesitation of some members, we are waiting for the 2017 catalog to be published. Notice will be in the March newsletter that catalogs will be available and orders taken at the April Kick-Off General Meeting.

Vagabond/Cruising Chair Tom Stoner:  No report

Web Master Joe Rutolo: Joe noted Board Meetings are not listed on the Calendar of Events. It was decided he will add a note at the bottom of the Calendar stating Board Meetings are held on the second Monday of the month, except for two dates:  Monday, February 6 and Tuesday, April 11. Members will be notified of changes.

Old Business:  None

New Business:  April Kick-Off Meeting was discussed. Appetizers and desserts had been available by members in the past and water, coffee and tea had been provided by the club. Discussion will be held at the next Board Meeting for the upcoming Kick-Off.

It was noted Donna Ferron and John Pittman shoveled the snow before leaving for St. Thomas USVI.

Minutes of December 12, 2016 Board Meeting                                                    

Commodore Ron Hrabak called the meeting to order at 7:04 PM on December 12, 2016 at Century 21 Park Rd., Wyomissing.

Secretary Michele Rutolo:  Mary S made a motion to accept the November 14, 2016 Board Meeting Minutes as submitted via email. Bruce L seconded. Motion passed.

Treasurer Bruce Littlefield:  Treasurer’s Report for the month of November 2016:

Beginning Balance:     $1,903.04                    Ending Balance:  $1,487.03 

Income:      Social –   $444.00      Membership –  $155.00   Total  – $599.00

Expenses:   Social –   $1,105.01

Budget:  Bruce explained the budget spreadsheet set-up. Budget was reviewed. Mary S made a motion to accept the budget as written. Michele R seconded. Motion passed.

Michele R requested a separate column to show Income and Expenses for the monthly Treasurer’s Report.

Bruce L will be away the months of January and February, but will be present at Board meetings via Facetime.

Discussion was held re payment of February’s Dutch Apple Dinner Theater due in January. Bruce will deposit checks then give Mary S the debit card and books for audit before leaving. The audit will be done by Ron H as soon as the last bank statement for 2016 arrives.

Mary S will pay all bills as they arrive in his absence and update the spreadsheet.

Commodore Ron Hrabak:  Thanked Mary S and Jan Stoner for coordinating the Christmas Party, and thanked Conrad V for playing Santa.  Approximately 30 people attended. 

Ron will write a Commodore’s Message for the end of December which will be sent in a separate email. 

Vice Commodore Mary Stajkowski:  Reminder to keep Russ Witzke in the loop for the Dutch Apple Dinner Theater event. Only four seats are left. Bruce L has created separate tabs for this event on the spreadsheet which Board members can access at anytime on Google Drive.

The following have Google Drive editing privileges:  Bruce L, Treasurer; Ron H, Membership; Joe Rutolo, who created it.

Rear Commodore Heidi Moser:  Not present. No report.

Past Commodore Conrad Vanino:  Commended Ron H on a job well done as the new Commodore.

CBYCA Chair Donna Ferron:  Not present. No report. 

Bruce L reported 23 people paid their 2017 dues. Conrad V suggested we pay CBYCA dues as soon as possible to get the discounted price before we hit 50 members. The bill should arrive in January.

Bruce L made a motion to pay the CBYCA bill for the advertisement in their 2017 roster. Michele R seconded.  Motion passed. 

Conrad V suggested Donna F be sent a current list of officers to update the roster info for CBYCA.  Ron H will send Donna a current list of officers via email.

Communications Chair Michele Rutolo:  New member Andrew Kelhart will be recognized in the January newsletter. He was missed in the December newsletter.

Fleet Captain Joe Rutolo:  Not present. No report.

House Chair Russ Witzke:  Not present. No report.

Ron H will contact Russ to confirm dates are reserved at the Fire Company and Beverly Hills Tavern.

Historian Chair Jan Stoner:  Not present. No report.

Membership Chair Ron Hrabak:  We have one new member – Andrew Kelhart; two former members returned – Ralph and Dawn Bibbus.

Paddlers Chair Conrad Vanino:  No report.

Program Report by Rear Commodore:  Not present. No report. Ron H said we might have Scott Ballantyne available for the May meeting, but in lieu of that Donna Ferron and John Pittman might be able to give a program on their trip from Annapolis to St. Thomas, USVI.  In the fall maybe the BVI group could give a presentation.

Mary S. will bring the blue bins to the April Kick-Off General Meeting.

Tom Stoner is getting info on the cost and availability of moving the Christmas Party to the West Wyomissing Fire Co. for 2017.

Safety Chair Heidi Moser:  No report

Social Report by Vice Commodore:  Mary S, no report.

Using the 2017 Calendar of Events, Ron H will change the Commodore’s Banquet date from Nov. 4th to the 11th and he will remove the Eagles social event in December and instead will try the Mount Hope Winery event.

Ron H will remove the POC for each event before  Joe R posts it on the web site under Upcoming Events. It will be sent out to new members in March when membership cards are issued.

Stores Chair Conrad Vanino:  No report.

Vagabond/Cruising Chair Tom Stoner:  Not present. As per Ron H, Tom will work on scheduling trips during the upcoming months.

Web Master Joe Rutolo: Not present. No report.

Ron H noted a report on the Christmas Party and the Miller Event, including pictures, were both on the web site. Ron H appreciates all the work Joe does keeping the web site current.

Minutes of November 14, 2016 Board Meeting                                                

Commodore Ron Hrabak called the meeting to order at 7:10 PM on November 14, 2016 at Century 21 Park Rd., Wyomissing.

Board Members Present:  Ron Hrabak, Mary Stajkowski, Michele Rutolo, Bruce Littlefield, Conrad Vanino, Heidi Moser                                         

Committee Chairs Present:  Tom Stoner

First Order of Business:  Heidi Moser, Rear Commodore and Michele Rutolo, Secretary were officially sworn in for their respective offices by Tom Stoner.

Treasurer Bruce Littlefield:  Treasurer’s Report for the month of October 2016:

Beginning Balance:     $1,276.10                    Ending Balance:  $1,903.04

As had been agreed upon by all board members via email (without Conrad Vanino’s knowledge), VP Mary S made a motion to send a check to United Church of Christ for $25 in tribute to long-standing member Mary Calcagno. Michele Rutolo seconded. Motion passed.

Budget: 

Expenses from last year that remain the same:  CBYCA; Secretary; House; Publicity; Safety.

Membership and Social are variables. Stores will break even.

Communications is paid every three years, due again in 2019.

Bruce Littlefield will print the budget as discussed for the December Board Meeting.

Secretary Michele Rutolo:  Conrad Vanino made a motion to accept the following: the September 14 General Meeting Minutes, the October 10 Board Meeting Minutes and the October 12 General Meeting Minutes. Heidi Moser seconded. Motion passed.

Commodore Ron Hrabak:  Thanked everyone for helping make the Commodore’s Banquet a success, especially Conrad Vanino, Russ Witzke, Tony Stajkowski and Joe Rutolo. He hopes to follow in Conrad’s footsteps and do as well as he did as Commodore.

Board meetings will continue to be held at Century 21 Park Rd. on the second Monday of the month. Com. Ron H house will be an alternate site. Due to a conflict for Com Ron H, the April 10 Board Meeting will be moved to Tuesday, April 11.

Due to conflicts with several members, the Board will move the Commodore’s Banquet from Saturday, November 4, 2017 to Saturday, November 11, 2017. In the past the Commodore’s Banquet had been held on the second Saturday of November and was recently moved to the first Saturday.

Vice Commodore Mary Stajkowski:  One member, Peggy Barnabei, was unable to attend the Commodore’s Banquet due to medical reasons. She had paid in full. The Board will apply her banquet payment to her 2017 membership dues. PC Conrad V made a motion to credit Peggy Barnabei for the amount paid us for her 2017 dues in as much as she had a medical emergency. Michele Rutolo seconded the motion. Motion passed.

Rear Commodore Heidi Moser:  No report

Past Commodore Conrad Vanino:  From his own past experience, PC Conrad V suggested Com Ron H confirm his committee chairs will continue in their positions for 2017.

CBYCA Chair Donna Ferron:  Not present. Donna F sent a memo re our CBYCA ad.  PC Conrad V suggested changes be made to the ad to encourage others to join BMSA. Joe Rutolo will modify the ad to look like BMSA membership cards, including the changes listed in the following motion: PC Conrad V made a motion to process the 2017 CBYCA ad for 1/8 of a page with a few changes relative to the number of years we’ve been in operation to state ‘over 35 years’ and to add Individual Membership $25 and Family Membership $35, with the logo enlarged as much as possible for that size ad.  RC Heidi M seconded.  Motion passed. 

Once revised, Treasurer Bruce L will send payment for the ad and membership in CBYCA.

Tom S. advised officers info must also be updated.

Donna F will be contacted to confirm we’re not duplicating her efforts. 

Communications Chair Michele Rutolo:  A Reminder email will go out this week and will include Heidi M’s report on the winners of the Photo Contest.

Com Ron H requested Joe copy the upcoming events published in the monthly newsletter and  add them to the website because the write-ups are in-depth with more details.

Com Ron H plans to write a Commodore’s Message quarterly. Michele R suggested it be sent out on its own to make it more personal to members.

Fleet Captain Joe Rutolo:  No report.

House Chair Russ Witzke:  No report. Com Ron H will confirm with Russ that he has the Fire Company reserved for 2017 General Meetings. 

Historian Chair Jan Stoner:  No report.

Membership Chair Ron Hrabak:  Due to declining health, Lou Brown, a charter member, might not renew his membership. Ron H would like to keep him as a member. Discussion took place as to what type membership could be offered. Tom S will talk to Lou to encourage his continued participation.

Mid-Week Sailing:  N/A

Paddlers Chair Conrad Vanino:  Conrad will take it over this year with help from Joe and Michele Rutolo

Program Report by Rear Commodore:  No report

 Safety Chair Heidi Moser:  No report

Social Report by Vice Commodore:  Mary Stajkowski is chairing the Christmas Party with Jan Stoner’s help. Since the club will purchase dessert, everyone should bring a sidedish, pot-luck style. The Stoners will bring coffee and hot water for tea, Conrad V will bring water and soda left from 2016.

Tom Stoner will research availability and cost to move the Christmas Party to the West Wyomissing Fire Co in 2017 since alcoholic beverages are allowed at that venue.

The Conowingo trip on December 9 was changed slightly. The group will watch the eagles in the morning and eat lunch in nearby Havre de Grace.

With Treasurer Bruce L leaving for FL for two months, Com Ron H or VP Mary S agreed to have social event checks mailed to them during those months.

Stores Chair Conrad Vanino: 

Vagabond/Cruising Chair Tom Stoner:  Tom and Joe R will get together to fine-tune things for 2017.

Web Master Joe Rutolo: No report.

New Business:  Com Ron H typed up a tentative schedule for 2017 for the board’s review. Picnics will be changed to Thursdays for 2017.

Spring, Summer and Fall Cruises are definite; destinations will be determined later.

House Chair Russ Witzke:  R Hrabak reported as of January, five dates were set up at the Fire Co:  04/13; 05/11; 09/14; 10/12; and 10/26. He will verify the date of 12/02 has been reserved for the Christmas Party.

Membership Chair Ron Hrabak:  43 members currently; an increase of 11 from last month.

C Vanino will make phone calls to several members who haven’t renewed.

J Rutolo will make sure all new Board members have access to Google Drive with an explanation of how to access it.  Only three members, Treasurer, Membership and Editor (J Rutolo) can make actual changes to the page.

Paddlers Chair Barbara Vanino:  Report sent in via C Vanino:  Will communicate with all paddlers before events to encourage participation.

Program Report by Rear Commodore:  Pre-planning of the April Kick-Off Meeting.

Safety Chair Heidi Moser:  Water Safety Day is now National Get Outdoors Day and will be held at Blue Marsh on June 11. No club events conflict this year so help will be available.

Social Report by Vice Commodore:  M Rutolo will forward all social reports to R Hrabak from this point forward.

Mary Calcagno, POC, called re info on the Pretzel City Chorus Spring Concert for the newsletter, reported by M Rutolo. The Board decided checks are payable to BMSA and the cost per ticket will be $12 even if the group discount isn’t met. C Vanino will call Mary for an extension of the March 15 deadline.

M Rutolo reported the results of the Miller Center Survey:  February (Germany) had 5 people interested in attending; March (Lake Superior) 9 people; and April (Volcanoes) 10 people.  Due to lack of interest the February event is canceled and will be announced in the newsletter.

Stores Chair Barbara Vanino:  A presentation of items will be available at the April meeting.

Vagabond/Cruising Chair Tom Stoner:  An email was sent to all Board members regarding three changes to the sailing schedule which were approved. J Rutolo will update the calendar on the website; the changes will also be discussed at the April General Meeting.

Web Master Joe Rutolo: Reported via email he obtained a discount from Fat Cow (server) and website security to cover three years, plus had a credit applied. The cost is now $222.10 instead of $274.  A bill was submitted and paid.
